Kovee is a property-management platform operated by Major Consulting Inc. for landlords and property managers in Quebec. This policy explains what personal information we collect, why, and how you stay in control of it. It is governed by Law 25 (Quebec), PIPEDA (Canada), and, where applicable, the GDPR.
The service is reserved for people aged 18 and over. We do not knowingly collect information from minors.
Account: name, email, phone, password (hashed). Management data (entered by you): buildings, units, leases, and the contact details of your tenants and applicants. Financial data: rents, expenses, accounting documents. Subscription payment is processed by Stripe; we do not store your card numbers. Documents: leases, notices, uploaded files. Applicant screening: see section 6. Technical data: IP address, browser, pages visited, session duration, error logs; a device notification token if you enable notifications. When you enter a tenant's or applicant's contact details, you confirm that you have the right to provide them for property-management purposes.
To provide and secure the service; manage your buildings, leases, finances and applications; generate documents and reports; process your subscription; send service-related communications; and, with your consent, notifications. We never sell your information.
Our AI assistant analyzes your rental data to provide recommendations (drafting, summaries, maintenance-photo diagnosis). The content of your requests is sent to our AI providers solely to generate the response. No decision producing a legal effect on a person is made in a fully automated way without the possibility of human review.
At a landlord's request, a credit and background check may be performed on a rental applicant through our partner SingleKey. This data is sensitive. The check is only launched with the applicant's explicit, timestamped consent. The applicant provides their information directly to SingleKey; Kovee receives the result (status and report) on the landlord's behalf.
Railway: application services and database. Cloudflare: document storage, network, DNS, and email routing. Vercel: marketing site. Stripe: subscription payment. Resend and SendGrid: transactional emails. OpenRouter and Groq: AI gateway and models. Tavily: web search for the assistant. SingleKey: tenant screening on request. PostHog: consent-based usage analytics. Expo: mobile technical services. Crisp: customer support and messaging. We may also disclose information where required by law.
The application and database run on Railway, the website on Vercel, and Cloudflare provides storage for certain documents, network services, DNS, and email routing. Some providers may process data outside Quebec or Canada; these transfers are governed by our agreements and applicable safeguards.
Hashed passwords, available two-factor authentication, encrypted transport (HTTPS), restricted data access. We encourage you to enable 2FA and use a strong password. In the event of a privacy incident presenting a risk of serious harm, we notify affected individuals and the competent authorities as required by law.
Kept for the duration of your account's activity. Upon closure, data is deleted within 90 days, subject to legal obligations (tax, accounting). Anonymized data may be retained for statistical purposes.
Access/export, rectify, delete your account, object, request portability, withdraw your consent. From Profile → Privacy (web) or Settings → Privacy (mobile), or by email at hello@kovee.io (response within 30 days). You may also file a complaint with Quebec's Commission d'accès à l'information (CAI) or the Office of the Privacy Commissioner of Canada if you believe your rights have not been respected.
